Role Overview:
We are looking for an Admin Executive to ensure smooth day-to-day office operations while supporting HR activities. The role focuses primarily on office administration, vendor coordination, and facility management, along with assisting in HR processes such as onboarding and attendance management.
Key Responsibilities:
1. Administration (Primary Responsibility)
• Manage daily office administration and ensure smooth workplace functioning.
• Coordinate with vendors for housekeeping, security, pantry, maintenance, internet, and utilities.
• Handle procurement of office supplies, stationery, and consumables; maintain inventory records.
• Manage office assets, equipment, and infrastructure maintenance.
• Supervise housekeeping staff and ensure office premises are clean and well-maintained.
• Handle vendor management, purchase orders, invoices, and payment follow-ups with finance.
• Coordinate travel bookings, hotel reservations, and logistics for employees or visitors.
• Maintain and manage HR expense tracker.
• Manage courier, postal dispatch, and document movement tracking.
• Ensure health & safety compliance and facility standards in the office.
• Support office expansion, seating planning, workstation setup, and infrastructure requirements.
• Manage hardware setup, internet connectivity, and access requirements.
• Maintain admin-related MIS reports, asset registers, and expense tracking.
• Organize company meetings, internal events, and employee engagement activities.
2. HR Responsibilities (Secondary)
• Manage employee onboarding documentation and joining formalities.
• Maintain employee records, personal files, and HR documentation.
• Track attendance, leaves, and employee data updates in HRMS or Excel.
• Support probation confirmation, exit formalities, and clearance processes.
• Assist with payroll inputs and HR reports.
• Address basic employee queries related to HR policies.
Qualifications & Skills
• Education: Bachelor's degree (Any Graduate)
• Experience: 0-2 years in HR & Administration roles (Prior experience in office administration or facility management preferred)
